Terms and Conditions

  • Amazing Africa Tours reserves the right to change any route and/or arrangement when necessary. We also reserve the right to accept or refuse any person as a member of a tour at any time, without giving reasons therefore.

Payment

  • Once a booking is confirmed, a 20% non refundable deposit is due. The outstanding balance is due no later than 45 days prior to travel. Failure to meet these requirements will result in the booking being cancelled. Payments will be due on receipt of an invoice which will outline all necessary bank details. The rate of exchange on the invoice will reflect the rate given to us on the day of issue of the invoice by our bank, and the conversion (if necessary) will be done accordingly. All bank charges are for the account of the transferor. If full payment has not been received prior to travel, Amazing Africa Tours reserve the right to cancel the booking.

  • During Peak Season, Amazing Africa Tours reserve the right to charge and receive payment as per the terms and conditions of the suppliers. In most cases, properties will require a 20% non-refundable deposit at 60 days, or when the booking is confirmed, to secure the space. Any cancellations from this period onwards will fall into the normal cancellation and penalty category. During peak seasons hotels reserve the right to amend these cancellation periods due to demand and situations beyond their control. In these cases it is necessary for Amazing Africa Tours to act accordingly.

Payment is done as follows:

  • Telegraphic Transfers - bank details will be sent with the invoice advising the account where funds are to be sent. A proof of payment slip will need to be sent to us in order to confirm payment has been made. Mastercard, Visa also accepted - however an additional 5 % will be charged.

Extras

  • Any groups requiring extras whilst on site, the total bill will need to be settled prior to departure, These may be settled by credit card or cash.

Late Bookings

  • If an inquiry and booking is made within a month (30 days) of travel, this is considered a "late booking". In this instance, wherever accommodation is available and an itinerary can be worked out and confirmed, payment in full (100%) is due immediately in order to secure the accommodation and activities. If the itinerary is canceled with the 2 week period, normal cancellation policy is effective.

Rates 

  • All rates and suggested costs are true and correct at the time of the quote and are subject to change without notice due to Government Legislation's beyond our control. Wherever necessary, we will endeavor to advise the client immediately of any significant change. All rates are quoted in American dollars (US$) or South African Rands (ZAR)

Cancellation Penalties and Refunds

Amazing Africa Tours endeavors to keep cancellation fees to a minimum, however when an itinerary is canceled within the hotels and operators policies, it is necessary to charge the following:

  • 45 days prior - clients lose the 20% nonrefundable deposit (60 days in peak season)

  • 4 - 2 weeks - clients lose 50% of the total price (i.e. 20% plus 30%)

  • Less than 2 weeks - client loses 100% of the total price 

  • "No show" - clients are treated as full cancellation 

If there is a request to change or amend a confirmed booking, the changes will be made subject to space and requirements. No refunds will be given for lost travel time, amended itineraries after departure, for situations beyond the control of Amazing Africa Tours, or "no shows" for any accommodation, meals or activities.

Quotations and Rates

  • All quotations are based on a twin sharing per person cost, unless specified otherwise. Each quotation will indicate clearly in the detailed summary what IS and is NOT included. All prices are quoted nett to Amazing Africa Tours and are therefore non-commissionable. All rates and suggested costs are true and correct at the time of the quote and are subject to change without notice due to Government Legislation's beyond our control. Wherever necessary, we will endeavor to advise the client immediately of any significant change.

Properties and Risks

  • Amazing Africa Tours acts as a booking agent for hotels, lodges, transfer companies and activity suppliers. Each of these independent companies are responsible for their own terms and conditions and are not controlled by Amazing Africa Tours, who are therefore not liable for any damage to personal property or personal injury whilst using these services. Amazing Africa Tours reserve the right to amend or cancel any part of a confirmed itinerary where necessary should the property or supplier not conform to desired standards or safety.

  • Amazing Africa Tours and their employees, agents, and associates shall not be responsible for and shall be exempt from all liability in respect of any loss, damage, injury, accident, delay or inconvenience to any person or their luggage or other personal property, whether the same shall occur or arise from or be occasioned by the negligence of Amazing Africa Tours, their employees, agents and associates or other persons directly or indirectly in the employ or service of Amazing Africa Tours or otherwise under any circumstance whatsoever.

Insurance

  • Amazing Africa Tours recommend that the following insurance covers are made prior to travel:
    Full Trip Cancellation / Default
    Baggage / Loss or damage of personal effects
    Medical - major and accidental, including emergency evacuation
    Accidental death and disability

  • The cancellation policy will apply should clients fail to join or start their itinerary due to airline delays or missed connections. Please ensure clients have adequate travel insurance  for this purpose

Passports and Visas

  • It is the responsibility of the client to ensure that passports and accompanying documents are valid at the time of travel. The client is to ensure that this has been obtained prior to travel, unless obtainable at the port of entry into the country.

Vaccinations and Health Precautions

  • Clients are urged to ensure all necessary vaccinations are carried out prior to departure. Anti-malaria precautions are imperative both prior and after travel. Please consult a doctor prior to departure and obtain the required drugs, and ensure that whilst visiting every precaution is taken to prevent oneself from being bitten - i.e. prophylactics, spray and long sleeved/trouser clothing during the evenings. (This is necessary only at certain times of the year - November through to June).

Flight Information

  • It is up to the client to reconfirm their flights and ensure that they have provided Amazing Africa Tours with the detailed flight information necessary prior to travel.
